REFUND POLICY
Wavezing – IT & Digital Services
Last Updated: 17 October 2026 | Effective From: 17 October 2026
Version: 1.0
Important: This is a working draft prepared from the business context provided. Before publication, verify it against Wavezing’s actual contracts, service delivery practices, payment gateway terms, registered business details, and current applicable law. Obtain legal review before publishing.
1. Purpose and Scope
This Refund Policy explains how Wavezing handles refund requests, cancellations, payment reversals, and related concerns for services purchased from us. It applies to website design and development, software and mobile application development, graphic design, hosting, domain-related services, digital marketing, SEO, social media management, maintenance, and other services supplied by Wavezing.
This policy should be read together with the applicable proposal, quotation, statement of work, invoice, Terms of Service, and any written project-specific agreement. If a signed or expressly accepted project agreement sets out a specific refund arrangement, that arrangement will apply to the extent it is lawful and applicable.
2. About Wavezing
Wavezing – IT & Digital Services provides technology and digital services to businesses and other customers. The contracting entity and invoice details stated in the relevant quotation or invoice will identify the service provider for that transaction.
3. General Refund Principles
Refund eligibility depends on the service purchased, the stage of work, the deliverables completed, third-party costs already incurred, and the terms accepted before the order was confirmed.
We will assess each request fairly and on its specific facts. Nothing in this policy is intended to exclude or restrict any consumer right, statutory remedy, or other protection that cannot lawfully be excluded under applicable Indian law.
4. Before Work Begins
If a customer requests cancellation before work has started, Wavezing will review the request and the payment received. Any refund will take account of amounts that are lawfully non-recoverable, including disclosed third-party fees or costs already incurred specifically for the customer, where permitted by law.
An administrative or cancellation deduction will not be imposed automatically. Any deduction must be reasonable, supportable, disclosed where required, and consistent with the accepted agreement and applicable law.
5. After Work Has Started
Once work has started, a full refund may not be available because time, resources, planning, research, design, development, configuration, or other services may already have been supplied.
If a cancellation is accepted, Wavezing may calculate any amount due by considering completed work, work in progress that has value, approved expenses, committed third-party costs, and payments already received. The customer will be provided with a reasonable explanation of the calculation where appropriate.
This section does not prevent a refund or other remedy where required by applicable law, or where Wavezing has failed to provide the agreed service and the law or contract provides a remedy.
6. Website, Software, and App Development
Development projects may include discovery, planning, design, coding, testing, integrations, deployment, and handover. Refund requests will be evaluated against the agreed scope and milestones and the work actually completed.
Where a project is paused or cancelled by the customer, completed milestones and properly incurred costs may be payable under the accepted agreement. Work not performed will be considered when calculating any amount refundable, subject to the contract and applicable law.
Requests for new features, additional pages, substantial redesigns, or changes beyond the agreed scope are generally treated as additional work rather than a reason for a refund. The parties should agree on the additional scope, cost, and timeline in writing.
7. Design, Branding, and Creative Services
Creative services may involve concepts, drafts, revisions, artwork, source files, and final exports. Refund eligibility will depend on the agreed deliverables, the stage reached, and the revisions or approvals already provided.
Where a customer has approved a concept or deliverable, or the final files have been supplied, a refund may be limited unless the accepted agreement or applicable law provides otherwise. This does not remove any remedy available for a material failure to provide the agreed service.
8. Digital Marketing, SEO, and Advertising
Digital marketing, SEO, social media management, campaign setup, and advertising services involve ongoing work and factors outside Wavezing's control. Unless expressly guaranteed in a written agreement, specific rankings, leads, sales, reach, conversions, or revenue are not guaranteed.
Fees for work already performed, campaign management already delivered, or approved media spend may not be refundable. Advertising spend paid to platforms or other third parties is subject to their rules and refund decisions, as well as applicable law.
If a campaign has not started or a service has not been delivered, any refund will be assessed based on the accepted scope, the payments received, costs incurred, and applicable legal requirements.
9. Hosting, Domains, Licences, and Third-Party Services
Hosting, domain registration or renewal, paid themes, plugins, software licences, stock assets, APIs, SMS services, email services, and other third-party products may be subject to separate provider terms.
Where a third-party provider has already charged a fee or activated a service, that amount may be non-refundable under the provider's terms. Wavezing will not treat a cost as automatically non-refundable merely because it is a third-party cost; the actual terms, disclosure, circumstances, and applicable law will be considered.
Where Wavezing can recover a third-party charge, or a refund is otherwise due, we will explain the relevant process and any applicable timing.
10. Subscription and Recurring Services
For recurring services, the customer should submit a cancellation request before the next billing date, allowing reasonable processing time. Cancellation generally prevents future renewals; it does not automatically refund a billing period already started or services already delivered.
Any prorated refund, cooling-off right, or other entitlement will be handled according to the applicable subscription terms and law. Customers should check their order confirmation for the billing cycle, renewal terms, and cancellation method.
11. Duplicate, Failed, or Incorrect Payments
If a customer is charged twice for the same order, or a payment is debited but the order remains unpaid because of a verified payment-processing error, the customer should contact us with the transaction reference and relevant evidence.
After verification, duplicate or incorrectly collected amounts will be refunded or otherwise corrected as appropriate. Where a payment gateway or bank must investigate the transaction, processing may depend on that provider's procedures.
12. Defective, Incomplete, or Undelivered Services
If a customer believes a service is materially defective, incomplete, or not delivered as agreed, the customer should contact us promptly with the order or invoice reference, a description of the issue, and supporting information.
Where appropriate and legally permitted, we may first seek to correct the issue, complete the missing work, provide an agreed alternative, or offer a proportionate refund. The available remedy will depend on the circumstances, the accepted agreement, and applicable law.
Nothing in this section limits a customer's statutory rights or prevents a refund where required by law.
13. How to Request a Refund or Cancellation
Send a request to contact@wavezing.com with the subject line “Refund or Cancellation Request”. Please include:
• Customer or business name and registered contact details.
• Invoice, order, or project reference.
• Service purchased and payment date.
• Amount paid and payment transaction reference, if available.
• Clear reason for the request and relevant supporting documents.
Do not send full card numbers, passwords, OTPs, or other sensitive authentication credentials. We may request reasonable information to verify the request and protect against unauthorised refunds.
14. Review and Decision
We will acknowledge a refund request within a reasonable period and review the available records. We may contact the customer for clarification or evidence before making a decision.
We aim to communicate the outcome, the basis of the decision, and any approved refund amount. Response and resolution timelines may vary depending on the nature of the request, the complexity of the project, and any payment-provider investigation. Where a specific legal deadline applies, we will follow it.
15. Refund Method and Processing Time
Approved refunds will generally be returned to the original payment method where supported and appropriate. In some cases, the payment provider or bank may require a different lawful method or additional verification.
After Wavezing initiates an approved refund, the time taken for the amount to appear in the customer's account depends on the payment gateway, bank, card issuer, or other provider. We can share available transaction or refund references to help the customer follow up.
A refund is not considered completed merely because a request has been submitted; the request must be reviewed and the refund approved or otherwise required.
16. Taxes, Invoices, and GST
Where a refund is approved for a transaction on which tax was charged, Wavezing will issue or adjust invoices, credit notes, and tax records as required by applicable law. The refund amount and any tax adjustment will depend on the original transaction, the service supplied, and the legally required accounting treatment.
Customers should retain the original invoice and any credit note or refund confirmation for their records.
17. Chargebacks and Payment Disputes
Customers are encouraged to contact Wavezing first if they believe a payment is incorrect or a service issue remains unresolved. This may help clarify the issue promptly.
Nothing in this policy prevents a customer from contacting their bank, payment provider, consumer commission, regulator, or another competent authority, or from exercising any right available under applicable law.
18. Cancellation by Wavezing
Wavezing may suspend or cancel a service where permitted by the accepted agreement and applicable law, including where required information or approvals are not provided, payment remains overdue after appropriate notice, or continued performance becomes unlawful or technically impracticable.
If Wavezing cancels a service for reasons not attributable to the customer, we will assess any unperformed portion and provide any refund or other remedy required by the agreement and applicable law. Any amounts properly due for services already delivered or lawful costs incurred will be considered fairly.
19. Customer Cooperation and Delays
Customers are responsible for supplying accurate information, lawful content and materials, required account access, feedback, and approvals in a timely manner. Delays caused by missing inputs or approvals may affect the project schedule.
A delay does not automatically eliminate a customer's rights. If a delay materially affects delivery or a refund request, Wavezing will consider the agreed timeline, communications, work completed, and applicable law.
20. Misuse and Fraud Prevention
We may verify order and payment details before issuing a refund to prevent fraud, impersonation, or duplicate claims. We may decline or pause a request where there is a reasonable, evidence-based concern requiring investigation, subject to applicable law and any required timelines.
We will not use fraud-prevention checks to unreasonably deny a refund that is otherwise due.
21. No Waiver of Legal Rights
This policy is not intended to waive, reduce, or contract out of rights that customers have under applicable Indian law. If any provision conflicts with a mandatory legal requirement, the legal requirement will prevail to the extent of the conflict.
22. Changes to This Policy
Wavezing may update this policy to reflect changes in services, business processes, payment arrangements, or applicable law. The updated version will show a revised “Last Updated” date.
Changes will not retrospectively remove rights already accrued or alter an existing contract where doing so would be unlawful. Where notice or consent is required, we will follow the applicable requirements.
